The purpose of this Digital Media Policy is to establish clear guidelines for the appropriate, ethical, and professional use of digital media by all representatives of Mentor Me Now Foundation (“the Foundation”). This includes social media, websites, email communications, digital marketing platforms, and any other online or electronic communication channels.

This policy ensures that all digital engagement aligns with the Foundation’s mission, protects its reputation, and maintains the trust of partners, donors, participants, and the community.

This policy applies to:

• Employees
• Contractors
• Volunteers
• Interns
• Board members
• Any individual representing the Foundation in an official or unofficial capacity when referencing the organization

All digital communication must reflect the Foundation’s values of:

• Integrity and respect
• Confidentiality and privacy
• Professionalism
• Community empowerment
• Accuracy and transparency

Representatives may use digital media to:

• Share approved Foundation programs, events, and initiatives
• Promote community engagement and educational content
• Communicate with stakeholders in a professional manner
• Support fundraising and awareness campaigns authorized by leadership

The following actions are strictly prohibited when representing or referencing the Foundation:

• Posting confidential or sensitive information without authorization
• Sharing misleading, false, or unverified information
• Using discriminatory, offensive, or harmful language
• Engaging in political advocacy on behalf of the Foundation unless explicitly approved
• Posting content that damages the reputation of the Foundation or its partners
• Using the Foundation’s name, logo, or branding without permission

• All official accounts must be approved and managed by designated personnel
• Personal accounts must not imply official representation of the Foundation unless authorized
• Employees should avoid engaging in public disputes or controversial discussions under the Foundation’s name
• Respect privacy of participants, clients, and partners at all times

• The Foundation’s logo, name, and materials are protected assets
• Any use of branding must follow approved brand guidelines
• Unauthorized modification or misuse of branding is prohibited

All individuals must comply with applicable privacy standards, including:

• Protecting personal data of program participants
• Obtaining consent before sharing photos, testimonials, or stories
• Ensuring secure handling of digital records and communications

In the event of a public relations issue or digital incident:

• Do not respond independently on behalf of the Foundation
• Immediately notify leadership or designated communications personnel
• Only approved statements may be released

The Foundation reserves the right to monitor official digital channels for compliance. Violations of this policy may result in:

• Verbal or written warnings
• Removal of digital access privileges
• Termination of contract or employment
• Legal action if necessary

This policy will be reviewed annually and updated as needed to reflect changes in technology, communication practices, and organizational needs.
